This policy explains which personal data we process in HIVE and on this website, what we use it for, who we share it with, and how you can exercise your rights.

HIVE is a business management system (ERP) developed and operated by International Technologies S.A.S. de C.V., which does business under the brand Geeks.

In this policy, "we" means International Technologies S.A.S. de C.V.

Who this policy applies to

Visitors to this website.
HIVE users: staff of the businesses that use HIVE and sign in to it.
Customers of those businesses: people a business invoices, records or messages on WhatsApp through HIVE.

Our role

We are the controller of the data of website visitors and of HIVE user accounts.
Businesses that use HIVE are the controllers of their own customers' and employees' data. We act as their processor: we process that data only to provide the service and following their instructions.

If you are a customer of a business that uses HIVE, that business decides which of your data it records and why. Please contact that business first. You can also write to us, and we will coordinate your request with them.

Data we process

Website visitors

What you enter in the contact form: name, company, email, phone, area of interest and message.
The IP address and browser used to send the form, to prevent abuse.
Technical cookies needed for the form and the website to work. We do not use advertising or analytics cookies.

HIVE users

Name, email and username.
Password, stored hashed and never in readable form.
Permissions per company and branch.
Access and activity logs: IP address, browser, pages visited and changes made in the system.
Devices registered for attendance check-in.

Data businesses enter in HIVE

Sales, purchases, invoices and electronic tax documents (DTE).
Accounting, bank and inventory records.
Employee records: contact details, job title, attendance check-ins and ID card photo.

Customers of the businesses

General identification details, email, phone number and address.
To issue tax documents: tax ID (NIT, NRC or DUI) and economic activity.

When a business uses WhatsApp from HIVE, we store:

The customer's phone number and WhatsApp profile name.
When and how they consented to receive messages, and whether they opted out.
The content of the messages sent and their status: sent, delivered, read or failed.
The replies the customer writes.

How we use the data

To provide HIVE to the businesses that subscribe to it.
To issue electronic tax documents and send them to El Salvador's Ministry of Finance (Ministerio de Hacienda).
To send WhatsApp messages on behalf of a business, only to people who gave their consent.
To provide support and reply to people who contact us through the website. Your request may be passed to one of our authorized distributors so they can contact you.
To protect the system: detect unauthorized access, abuse and errors.
To comply with legal obligations, particularly tax obligations.

We do not sell personal data, and we do not use the data of businesses' customers for our own advertising.

WhatsApp messages

Messages are sent through Meta's WhatsApp Business Platform.
A business may only message you if you consented beforehand. Promotional messages require separate consent.
You can stop receiving messages at any time by replying STOP or BAJA.
Meta processes message data under its own policy: whatsapp.com/legal/privacy-policy.

We share data only with the providers we need to deliver the service, and only what they need:

Authorized distributors

HIVE is also implemented and supported through authorized distributors:

AppStudios S.A. de C.V.
SAC Systems S.A. de C.V.
Cuentaxnow S.A. de C.V.

Distributors receive:

Contact form requests, so they can reply to the person who asked for information.
When a business subscribes to HIVE through a distributor, access to its data to implement the system and provide support.

Each distributor works in its own HIVE instance, isolated from the others. It only accesses the data of the businesses it serves, and may use it only for that purpose.

Authorities

We also disclose data to authorities when the law requires it.

International transfers

Our servers are hosted on Amazon Web Services in Virginia, United States (us-east-1). Several of the providers above also process data outside El Salvador. We use providers that apply recognized security measures to protect that information.

How long we keep data

We keep a business's data for as long as it is a HIVE customer.
When it stops being a customer, it has 90 days to export its information. After that we delete it.
Tax documents and accounting records are kept for the period required by tax law, even if deletion was requested.
Contact form messages are kept for as long as they are useful to handle the request.

Security

All connections are encrypted (HTTPS).
Disks and databases are encrypted at rest.
Passwords are stored hashed.
Access to data is controlled by permissions per company and branch.
We make regular backups.

No system is completely infallible. If an incident affects your data, we will notify the affected businesses and, where appropriate, the affected people.

Your rights

You can ask us to:

give you access to your data;
correct it;
delete it;
stop using it for a specific purpose.

Write to [email protected]. We reply within 30 days. To request deletion, follow the steps on the Data deletion page.

Children

HIVE and this website are not directed at people under 18, and we do not knowingly collect their data. If a business records a minor's data in HIVE, it is responsible for obtaining the consent of their parents or guardians.

Changes to this policy

Significant changes are announced by email to customer businesses and on this website 30 days in advance.
Minor changes only update the "last updated" date.
